About the Role

We are seeking a detail-oriented and highly organized Personal Injury Legal Administrative Assistant to support a busy personal injury practice. The ideal candidate will possess strong administrative skills, exceptional attention to detail, and the ability to manage multiple priorities in a fast-paced legal environment.

This position plays a key role in supporting attorneys and legal staff by managing client communications, maintaining case files, coordinating appointments, and ensuring the efficient handling of day-to-day administrative functions.

Key Responsibilities

  • Serve as the primary point of contact for clients, medical providers, insurance companies, and court personnel.
  • Answer and direct incoming calls, emails, and correspondence.
  • Open, organize, and maintain electronic and physical client files.
  • Schedule client meetings, depositions, medical appointments, and court-related deadlines.
  • Request and track medical records, bills, and other case-related documentation.
  • Prepare and process legal correspondence and routine documents.
  • Monitor case status and assist with case progression from intake through settlement.
  • Maintain accurate records within the firm's case management system.
  • Assist attorneys and paralegals with administrative and clerical tasks as needed.
  • Ensure all documentation is filed accurately and timely.

Qualifications

  • Previous experience in a law firm, legal department, or professional office setting preferred.
  • Personal injury experience strongly preferred.
  • Excellent verbal and written communication skills.
  • Strong organizational and time management abilities.
  • Proficiency with Microsoft Office Suite, including Outlook, Word, and Excel.
  • Ability to prioritize tasks and meet deadlines.
  • Professional demeanor with strong customer service skills.
  • High attention to detail and accuracy.

Preferred Skills

  • Experience working with legal case management software.
  • Knowledge of personal injury litigation processes and terminology.
  • Familiarity with obtaining medical records and communicating with healthcare providers and insurance carriers.
